What "prorated" actually means
The word "prorated" on a parts warranty is one of the more confusing terms in manufacturer paperwork. It means the manufacturer's reimbursement decreases over time even if the part is technically still under warranty. For example: a 9 year prorated parts warranty might cover 100 percent in years 1 to 3, 80 percent in years 4 to 5, 60 percent in years 6 to 7, and 40 percent in years 8 to 9. The same part that would be a free replacement at year 2 might be a $150 part-cost-contribution at year 7.
The tank itself on most consumer-grade units is straight (non-prorated) for the warranty term. So a 9 year tank warranty pays for the tank replacement at any point in those 9 years, 100 percent. The labour to install is the homeowner's problem after year 1. Premium units (Bradford White, AO Smith ProLine XE, some Rheem Platinum) have non-prorated parts warranties; check the specific document.
Practical implication: when a unit fails in year 5 to 8 and the warranty has "prorated" parts, expect to pay $50 to $200 in part-cost-contribution on top of the labour. Still cheaper than full replacement at $1,200 to $2,500 but not free.

The warranty claim process step by step
- Identify the unit. Locate the data plate (the metal label, usually on the side or top of the unit). Note the model number, serial number, and date of manufacture.
- Locate your install paperwork. Permit paperwork from the original install is the strongest proof of install date. The installer's invoice is the next-best. If you don't have either, the manufacturer uses the date-of-manufacture on the data plate, which may be slightly later than install date and may shorten effective warranty.
- Verify warranty registration. Many manufacturers require registration within 30 to 90 days of install for full warranty. Log into the manufacturer's website with serial number to check registration status. Register late if needed; some manufacturers accept it with reduced terms.
- Call the warranty support line. Each manufacturer has a residential warranty support phone line (Rheem 1-800-621-5622, AO Smith 1-800-433-2545, Bradford White through your installer). Provide the unit details and describe the failure. The agent confirms warranty coverage and issues a warranty claim number.
- Get the replacement unit. For standard residential tank units, the manufacturer typically directs you to a local plumbing distributor or your installer to pick up the warranty replacement unit. Some HPWH units may be shipped direct.
- Schedule the labour. Your original installer is often willing to do the warranty swap at standard rates. Independent plumber labour rates of $400 to $900 apply.
- Document everything. Keep the warranty claim number, photos of the failed unit, and the new install paperwork. The new unit's warranty starts fresh on install date; register the new unit too.
